TERMS & CONDITIONS - Tekkers Karate 

1. Booking & Payment
- All classes are booked in 10-week blocks, paid in advance.
- The cost is £10 per class (£100 total per block).
- Bookings are non-transferable and secure your place for the full term. - Payment must be received in full before the first session begins.
- Spaces are allocated on a first-come, first-served basis. 

2. Attendance & Cancellations
- Missed sessions are not refundable or transferrable.
- Tekkers Karate reserves the right to cancel or reschedule a class (e.g., due to venue unavailability or instructor illness). In such cases, we will offer:
- A makeup class where possible;
- Or credit to be used for the next term block. 

3. Refund Policy
- All payments are final. We operate a strict no refund policy.
- In exceptional circumstances (e.g. long-term injury, relocation), requests may be considered at the discretion of Tekkers Karate management. 

4. Behaviour & Discipline
- All students are expected to behave respectfully and follow instructions from instructors at all times.
- Disruptive or dangerous behaviour may result in suspension or removal from the programme, without refund.
- Parents/guardians will be informed of any persistent issues. 

5. Health & Safety
- It is the responsibility of the parent/guardian to ensure that any medical conditions or additional needs are declared on registration.
- Tekkers Karate instructors are first aid trained and DBS certified.
- Students must arrive with appropriate clothing, clean footwear, and water bottles.
- Parents agree that karate is a physical activity and carries an element of risk. 

6. Drop-off & Collection
- Parents/guardians are responsible for safe drop-off and collection of children.
- Tekkers Karate does not provide supervision before or after scheduled class times. 

7. Liability
- Tekkers Karate and its instructors accept no liability for personal injury unless caused by proven negligence.
- We are not responsible for the loss or damage of any personal items during class. 

PRIVACY POLICY 

Your privacy is important to us. This policy explains how Tekkers Karate collects, stores, and uses your data. 

1. What We Collect
We collect personal data including:
- Parent/guardian name and contact details
- Child's name, age, and relevant medical information - Payment and booking history 

- Photo/video consent (if provided) 

2. Why We Collect It
We use your data to:
- Manage class bookings and communication
- Keep your child safe during sessions (e.g., health or allergy alerts) - Inform you of new classes or schedule changes
- Improve our services 

3. Who Has Access
- Only authorised Tekkers Karate staff will access your data. - We never sell or share your data with third parties. 

4. Storage & Retention
- All data is securely stored in password-protected systems.
- We retain records for up to 2 years unless you request deletion sooner. 

5. Your Rights
You have the right to:
- Access the data we hold on you
- Request correction or deletion
- Withdraw consent for photo/video use at any time

NO REFUNDS POLICY 

By enrolling in Tekkers Karate, you agree to the following:
- Fees are payable in advance for the full 10-week block.
- We do not offer refunds for missed sessions.
- If a session is cancelled by Tekkers Karate, we will reschedule or offer credit. 

This ensures we can provide consistent planning, coaching, and class delivery. 

MEDIA CONSENT & RECORDING NOTICE 

1. Photography & Video
- Tekkers Karate may occasionally take photos or videos during classes for:
- Social media
- Website content
- Marketing materials
- These are used respectfully and without identifying information unless prior consent is obtained. 

2. Consent & Opt-Out
- By enrolling your child, you give general consent to non-identifiable group photos/videos.
- If you do not wish your child to appear in any content, please notify us in writing at registration. 

3. Session Recording
- Some sessions may be recorded (e.g., for internal training or safeguarding audits). - These are not shared publicly and are securely stored.
